Rejecting a Transfer Request
Aurabox supports rejecting requests. This is helpful if you want to reject a request for some reason. For example, you may want to reject a request if the requestor has not provided enough information, the patient can’t be verified, or for some other valid reason.
You can reject a request using the option on the request.
Rejection vs Refusal
It’s important to understand the difference between rejecting and refusing a request. As long as you have a valid reason to reject a request, doing so will usually be legal. However, refusing a request - not responding, or refusing to respond due to how the request was sent - may not be legal.
You may not be required to respond to Aurabox, however you are likely to be required to respond to the Requester. Responding via Aurabox may make the process easier for you and the requester.
Grounds for Rejection
There are several valid reasons why you may wish to reject a request.
Patient Verification
If you are unable to verify the patient’s identity, you may wish to reject the request. This is a valid reason to reject a request, as it is in the best interests of the patient to ensure that their information is not used for the wrong person.
You should consider if you can validate the patient’s identity another way.
Lacking consents
If the request does not include the necessary consents, you may wish to reject the request. This is a valid reason to reject a request, as it is in the best interests of the patient to ensure that their information is not used without their consent.
You should consider if you can obtain a valid consent another way.
Cannot locate the imaging
If the imaging requested cannot be located, you may reject the request safely.
Propose an alternative method
Depending on your jurisdiction, you may be able to propose an alternative method of obtaining the imaging. For example, you may be able to suggest the imaging is provided using a different mechanism. Different jurisdictions may have different rules about this.

Fee required
If you require a fee to fulfill the request, you may wish to reject the request. This is a valid reason to reject a request, as it is in the best interests of the patient to ensure that they are not charged unnecessarily.
Other reasons
Depending on your jurisdiction, there may be other valid reasons to reject a request. You should consider whether there is a valid reason to reject the request, and whether there is an alternative way to fulfill the request.
Rejecting a request
To reject a request, go to the “How to Respond” tab, and select “Reject Request”. You will be asked to provide the reason for the rejection. An additional text area is available to provide supplementary information if required. This information will be provided to the requester, and may fulfill your requirments to notify the requester of the rejection.
How does Aurabox handle rejected requests?
Aurabox will notify the requester of the rejected request, as well as the reason provided. Aurabox may also provide information on how to make a complaint.
Aurabox also retains rejected and abandoned request information, and may use this to provide performance information to referrers.
